Zapier seamlessly connects applications using custom Triggers and Actions to create a Zap.

Depending on which application sends orders to your restaurant will determine the best way to connect with Fresh KDS via Zapier.


💫 The following steps assume you have an active Zapier subscription and are already set up with Fresh KDS.

Many applications offer two options for sending orders to Fresh KDS via Zapier:

  • Use the Application (e.g. BigCommerce) as the Trigger.

  • Use Zapier Webhooks as the Trigger. (Premium Zapier Account Required)

Note: Each application may differ slightly in setup. Use the below instructions as a guide, or refer to our detailed setup guides for our most common Zapier integrations.


Option 1: Use the Application (e.g. BigCommerce) as the Trigger.

Step 1: Create the Zap

  1. From Zapier, click ‘+ Create Zap.’

  2. Choose the Application (e.g. BigCommerce) used to send orders as the Trigger.

  3. Choose an Event to trigger the action. For example, New Order, Orders, etc.

  4. Select sign-in to authorize Zapier access with your application credentials.

  5. Test the trigger to bring in sample data. (This may prompt sending a test order from the application.)

  6. Choose ‘Fresh KDS’ as the Action.

  7. Choose ‘Send Order’ as the action event.

  8. Select sign-in and paste the Integration Token obtained from the below step.


Step 2: Create the Integration Token

From a separate browser or tab, log into your Fresh Dashboard and select Settings - Integration Tokens.

  1. Click ‘+Create Token.’

  2. Enter a name as the Token Description, and click '+Create Token.'

  3. Copy the generated token value to use in step 1.

Step 3: Complete and Test the Zap

  1. Once the Integration Token is added in Zapier, enter the following fields to Set Up the Action:

    • Location to Send To - Select the Fresh KDS location to send the order to.

    • ID (Required) - Unique Order Identifier.

    • Name (Required) - Customer Name.

    • Time (Required) - Order Time.

    • Order Mode (Required) - Fulfillment Type.

    • Items: ID - Item ID or SKU.

    • Items: Name (Required) - Item Name.

    • Items: Quantity (Required) – Item Quantity.

    • Items: Modifiers – Item Modifiers, Variants, Adjustments, etc.

  2. Test your Zap and set it live.


Option 2: Use Zapier Webhooks as the Trigger.

Step 1: Create a Zap

  1. From Zapier, click ‘+ Create Zap.’

  2. Choose ‘Webhooks by Zapier’ as the Trigger.

  3. Choose ‘Catch Hook’ as the trigger event.

  4. Copy the generated Custom Webhook URL (under Test Trigger) to use in step 2.

Step 2: Create a Webhook in the Application

From a separate browser or tab, log into the application used to send orders.

  1. Follow the appropriate steps to create a Webhook in the application, often found under Settings.

  2. Select ‘Order Creation’ (or a similar alternative) as the event.

  3. Paste the copied Custom Webhook URL.

  4. Save the changes and create a test order.

  5. Return back to Zapier, and test the trigger to bring in sample data from the test order.


Step 3: Create the Integration Token

From a separate browser or tab, log into your Fresh Dashboard and select Settings - Integration Tokens.

  1. Click ‘+Create Token.’

  2. Enter a name as the Token Description, and click '+Create Token.'

  3. Copy the generated token value to use in the below step.

Step 4: Complete and Test the Zap

  1. From Zapier, choose ‘Fresh KDS’ as the Action.

  2. Choose ‘Send Order’ as the action event.

  3. Select sign-in and paste the Integration Token obtained from step 3.

  4. Enter the following fields to Set Up the Action:

    • Location to Send To - Select the Fresh KDS location to send the order to.

    • ID (Required) - Unique Order Identifier.

    • Name (Required) - Customer Name.

    • Time (Required) - Order Time.

    • Order Mode (Required) - Fulfillment Type.

    • Items: ID - Item ID or SKU.

    • Items: Name (Required) - Item Name.

    • Items: Quantity (Required) – Item Quantity.

    • Items: Modifiers – Item Modifiers, Variants, Adjustments, etc.

  5. Test your Zap and set it live.
