Before you begin, please confirm:

  • Fresh KDS has access to the customer's phone number.

When ringing in a new sale, add the customer's phone number as an Order Note or to the Order Name.


For Square - API, add a customer with a phone number to the current sale or add the phone number as a note on an item in the order.

Some POS systems (Clover) may require you to enable Order Notes.

Navigate to Setup - Orders - Enable Order Notes; and Setup - Order Receipts - Enable Order Notes, Customer Information.

*International numbers must follow the E.164 format: [+][country code][subscriber number including area code] - For example, +61293784328 (Australia)


How to Enable SMS Messaging (Advanced-Tier Only):

Navigate to your Fresh KDS Home Screen. Tap to click on Settings - Messaging.

  1. Toggle on to enable SMS messaging for any of the three options:

💡 Please note: SMS Messaging can also be updated via the Fresh Web Browser.

🚨 Text notifications are billed at $0.0075 USD per message with NO monthly minimum. Charges for text usage are added monthly on top of your Fresh KDS subscription.


Order Received SMS:

Send a text to the customer when an order is received and appears on your KDS.

“We have received your order!”

Toggle on ‘Enable Messaging Based on Ready Time’ to send a time-dependent message based on whether Now + Ready Time is under or over the pickup time.
To start, set the Ready Time threshold (minutes).

  • Orders with a promised ready time under the threshold will be sent the ‘Default SMS Content Under Message.’

  • Orders with a promised ready time over the threshold will be sent the ‘Default SMS Content Over Message.’

*If 'Order Received SMS' is turned on but ‘Enable Messaging Based on Ready Time’ is turned off, the same default SMS content will send when orders are received.

Send messages by order type, include 'I’m Here!' links, or create custom SMS content.

💬 To create a custom SMS, tap to select the Default SMS content and replace it with a personalized message.

Wildcard options are available for adding the name, location, or pickup time. To include these within a custom message, add @location, @orderName, or @pickupTime to the message.

For example, Your order @location will be ready for pickup at @pickupTime.

🛑 SMS messages are for transactional communication only. Custom messages that include promotional, loyalty, or marketing language are prohibited and can result in delivery failure.


Order Bumped from KDS Screen SMS:

Send a text to the customer when an order is bumped (cleared) from your KDS Home Screen.

“Your order is now ready!”

Send messages by order type, include 'I’m Here!' links, or create custom SMS content.

💬 To create a custom SMS, tap to select the Default SMS content and replace it with a personalized message.

Wildcard options are available for adding the name, location, or pickup time. To include these within a custom message, add @location, @orderName, or @pickupTime to the message.

For example, Your order at @location is now ready for pickup.

Order is Ready for Pick Up SMS:

Send a text when an order is manually "Marked as Ready” in the Take Out View.

“Your order is now ready for pickup!”

*To use Order is Ready for Pick Up SMS, Take Out Management must be enabled. To enable Take Out View, please refer here.

Send messages by order type, include 'I’m Here!' links, or create custom SMS content.
