Access billing & subscription information from your Fresh Dashboard.


To start, log into your Fresh Dashboard, and select ‘Billing & Subscriptions’ from the left navigation bar.


Billing & Subscriptions 💳

The Billing & Subscription page displays the Company Billing Account and Location Subscriptions.

Fresh KDS subscriptions can bill to either the Company or Location.


Company Billing Account 🗂

The Company Billing Account is the master billing account.

To update the Company Billing Account, click 'Update Billing Account,' enter the billing details, and select 'Update.'

Location Subscriptions & Billing Information 📍

Location Subscriptions can bill independently based on the location-specific payment details. This can simplify the bookkeeping of a multi-location restaurant as invoices are generated by location, and is ideal if multiple locations operate independently.

View the details of a location subscription by clicking the ‘>’ icon to the left of the location name.

To enable Location Billing, click ‘Location,’ input the billing details, and select 'Update.'


How to add a New Location and Subscription:

Fresh KDS subscriptions are attached to locations. To add a subscription, a location must first be created.

Step 1: Create a Location

To start, log into your Fresh Dashboard. The header will display the name of your current brand; use the drop-down arrow to select a different brand if necessary.

  1. Navigate to Settings - Locations.

  2. Click ‘+ Create Location.’

  3. Enter the information for the new location.

  4. Click ‘Create’ to create the location.

Step 2: Add a Subscription

To start, log into your Fresh Dashboard, and select ‘Billing & Subscriptions’ from the left navigation bar.

  1. Click ‘Add Subscription’ of the intended location.

  2. Select ‘Setup’ for Fresh KDS.

  3. Choose the POS used at the location.
    *This may prompt you to log in with your POS credentials.

  4. Select a location (Square-specific), and choose the subscription details (Basic/Advanced, Monthly/Annual, and the number of screens).

  5. Click ‘Create’ to add the new subscription.


How To Manage An Existing Subscription:

To start, log into your Fresh Dashboard, and select ‘Billing & Subscriptions’ from the left navigation bar.

  1. Click the ‘>’ icon to the left of the intended location.

  2. Select ‘Manage’ for the Fresh KDS subscription.

  3. Choose the updated subscription details (Basic/Advanced, Monthly/Annual, and the number of screens).

  4. Click ‘Update’ to apply the updates.

Subscription upgrades are charged a prorated amount and will go into effect immediately. Downgrades, including changes from annual to monthly, will go into effect after your current paid-for period ends.

Note: If you’ve canceled a subscription, you will see 0 active subscriptions. Service will remain active through the noted service end date.


Invoices 🧾

Select ‘Invoices’ at the top of the Billing & Subscription page to view recent and past invoices.

Export a PDF version of any invoice by selecting the ‘Download’ button.
